Rate: $23/hour
Schedule: 10 hours per week (Flexible work schedule. Weekly schedules may fluctuate depending on the needs of the program)
Note: Candidates must be willing to use their own computer and phone for the position. Basic office supplies and access to co-working office space will be available. The work schedule and location is flexible; however, the candidate is expected to be available for in-person, on-site working in Ottawa according to the program needs.
Overview:
The Mentorship and Development Program Coordinator is a creative professional with experience coordinating community art and music events and programs, and mentoring early-career arts organizers. The Program Coordinator (in collaboration with the Mentorship and Development Program Manager and Debaser staff) will assist with the development and implementation of a new mentorship and development program that guides and resources emerging event organizers through the organization of a self-directed event or program, including facilitating group learning sessions focused on knowledge sharing and skill-building, informed and guided by diversity, equity, inclusion, and accessibility. They will ongoingly collect feedback, evaluate and make recommendations for program improvement and redevelopment to team members and the program steering committee.
Responsibilities:
Program Development and Implementation
In collaboration with the Program Manager, develop curriculum and programming framework, including program content, timelines, and work plans
Support the creation of an application process and calls for participants and assessment committee members
Help facilitate assessment committee process, including communicating with committee, sharing information, scheduling meetings and booking space, taking notes, recording decisions, and distributing meeting notes
Assist in organizing and distribution of information and materials to participants and speakers
Schedule meetings, book meeting space, and coordinate logistics related to learning sessions and mentorship one-on-ones
Assist with the development of financial reporting process, and assist participants with ongoing financial management of events/programs
Communication and Outreach
Assist with development of promotion and outreach plans
In collaboration with the Program Manager and a contracted graphic designer, organize and facilitate development of visual identity and communication of key information and promotional assets
Coordinate creation and management of of key digital and web properties, including website, email, newsletter, and social media accounts
Create, edit, and publish program content to social media, newsletter, and website
Conduct outreach and engagement with partners and community members
Organize and communicate funder and partner logos and logo guidelines with program participants
Coordinate and organize program documentation, including photo and video materials
Assessment, Reporting and Administration
Coordinate participant and guest speaker feedback processes, including creating feedback forms, analyzing and aggregating information into reports, sharing/presenting reports to team members and steering committee, and contributing to the implementation of of key takeaways
Track and gather information on program outcomes for reporting to partners and funders
Organize and track program financial reports and documentation
Collect and submit invoices for payment to Debaser staff

Be detail-oriented and organized
Have strong professional writing and language skills
Possess the ability to organize, plan activities, and demonstrate initiative with minimal supervision
Possess exceptional time management abilities
Have good work ethic, be flexible, enthusiastic, professional, and team-oriented
Have experience using Google applications (docs, sheets, gmail, calendar, etc)
Have experience in creative non-profit sector workplace (1+ years)
Have experience in organizing events and/or programs (can be community/volunteer-based or paid; 3+ years)
A demonstrated dedication to diversity, accessibility, and inclusion in personal leadership and artistic practices and an interest in continuing to grow in these areas

About the mentorship and development program:
The mentorship and development program is designed to share knowledge and skill-building opportunities to early-career and aspiring music and arts organizers, with a focus on “DIY” (do-it-yourself) and inclusive organizing models. The goal is to establish a more diverse and inclusive live events community and to create broader access to privileged knowledge and skills related to organizing, effectively helping to steward new cohorts of music and arts organizers and address sectoral imbalances. The program will focus on teaching essential skills like financial literacy and fundraising, program development and curation, event safety and harm reduction, and marketing. This program is co-produced by a consortium of Ottawa-based creative organizations: The Framework, Produced by Youth, the Moving Art Gallery, and Debaser.

Since establishing in 2013, Debaser has become one of Ottawa’s leading independent and underground music and arts presenters, best known for its thoughtfully-curated, diverse programming, and care-oriented approach. Debaser exists to catalyze innovative and collaborative music and artistic projects; support underrepresented, equity-deserving, and outsider art and artists; and create inclusive and responsive community spaces that cultivate shared understanding, joy, and social impact.
